Position: Facilities & Mail Room Clerk (PT, 20-25 hours/week)

Essential Functions & Responsibilities

  • Performs general administrative and facility duties as assigned to include, but not limited to:
  • Provides oversight of facilities maintenance and related services work to ensure safety standards are met, and facility appearance is maintained at high standards
  • Schedules and oversees on-site work performed by hired trades such as janitorial, HVAC, electrical, plumbing, and landscaping
  • Oversees facility repair and maintenance projects, renovations or refurbishments
  • Ensures that basic facilities, such as water, heating and air conditioning are well-maintained
  • Performs minor repair and maintenance work from time to time, including fixing equipment, repair locks, paint touch-up, light bulb replacement, vacuuming, sweeping, spill cleanups, unplugging sinks and toilets and other minor handyman tasks
  • Relocates and assembles and office equipment (shelving, chairs, desks, etc.)
  • Sets up and takes down meeting rooms for employee activities, such as tables, chairs, shade tents, etc.)
  • Moves furniture, boxes, copy paper and other items as needed.
  • Responsible for general upkeep of mail and catalog areas
  • Picks up mail at post office; receives and distributes delivered mail and packages; and prepares and ships packages for pick-up by USPS, UPS, Fed-Ex, etc.
  • Orders and approves invoices for janitorial supplies and limited office supplies; provides cost report for accounting; maintains and tracks supplies to assure timely reordering
  • On-site safety representative
  • Responds immediately to emergency situations; notifies appropriate personnel as situation demands.
  • Inspects fire extinguishers and notes inspection dates
  • Completes daily internal/external building and facility walk-throughs to identify safety issues and to assure a quality appearance.

Education & Experience

Minimum :

  • High school graduate or equivalent.
  • 3-5 years of experience in similar positions (facilities caretaker, mail room attendant, etc.)
  • Recent work experience with computers, including Microsoft Office (Outlook, Word and Excel).

  • Ability to safely use tools, equipment, supplies and Personal Protective Equipment (PPE) to include, but not be limited to: 
    • Screws and screwdriver; Nails and hammer
    • Ladder, step stool
    • Tape measure
    • Plumber’s wrench and plunger;
    • Mop, broom, vacuum, blower and sweeper
  • Knowledge of commonly-used concepts, practices, and procedures sufficient to perform most minor repairs, maintenance and custodial assignments.
  • Ability to work with internal and external customers, to understand instructions and to provide assistance to others.
  • May be required to obtain bids and other information to determine project costs including materials and labor.
  • Job functions require incumbent to occasionally exercise critical thinking and independent judgment.
  • Sufficient written and verbal command of the English language to be able to communicate in writing with co-workers.
  • Ability to effectively communicate and interact with co-workers, managers, vendors or owner representatives sufficient to exchange or convey information as well as give and receive work direction.
  • Ability to operate a motor vehicle to other facilities such as the post office, the company’s warehouse, etc., as requested.
  • Valid driver’s license and auto insurance must be maintained throughout course of employment.  Clean driving record.
  • Basic computer skills (able to operate mobile device, PC) and Microsoft Office software.
  • Ability to safely and successfully perform the essential job functions consistent with ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance, with minimum to zero unscheduled absences.

Preferred :

  • Valid CPR Certificate
  • Intermediate to advanced electrical and plumbing skills.
  • Working knowledge of Cal-OSHA, OSHA and safety officer requirements.
