Position: Contract Assistant (Construction)

Position Summary/Objective
 
The Contract Assistant performs administrative duties to assist in the administration of construction contracts.  The Contract Assistant partners with the Contract Specialist to ensure that contracts are administered successfully.  This individual serves as a resource for the Contract Specialist in administrative tasks related to the administration of construction contracts.  
 
Essential Functions & Responsibilities

  • Maintaining contract files
  • Making markups to scopes of work and/or contract documents as directed by the Contract Specialist
  • Gather documents and information at the direction of the Contract Specialist
  • Prepare and submit all required OCIP documentation for enrollment, ongoing reporting and closeout.  Monitor and assist Subcontractors to ensure lower tier compliance.  Work closely with Insurance agent to ensure compliance with all insurance requirements and insurance certificate submissions.
  • Track and maintain subcontractor insurance certificates
  • Assist Contract Specialist in various tasks related to sales tax reporting
  • Print and organize contract and bid documents at the direction of the Contract Specialist
  • Other data entry and administrative tasks as assigned to assist with reporting and tracking functions
Competencies, Skills and Abilities
  • Basic Knowledge of Contract terms
  • Basic Understanding of construction administration process & procedure
  •  Basic understanding of insurance coverage and policies
  • Basic understanding of GAAP
  • Excellent verbal and written communication skills and the ability to interact professionally with a diverse group of executives, managers, customers, lower tier subcontractors and fellow employees. 
  • Ability to multi-task with a high level of organization
  • Self Starter that takes initiative to start and complete assignments without constant supervision
  • Ability to adhere to deadlines
  • Considers and understands financial impacts of decisions
Education & Experience
  • Associates Degree, or equivalent work experience in a related field
  •  Past industry experience in any of the following disciplines a plus:
  • Contract administration, AIA billings, job costing, insurance, prevailing wage compliance.
