Position: Receptionist

Position Summary/Objective

Operates multi-line telephone system to answer incoming calls and directs callers to appropriate personnel. 

Essential Functions & Responsibilities

  • Answering and directing all phone calls to appropriate person.
  • Pages salespeople as required.
  • Responsible for petty cash, preparing cash schedules for cash report.
  • Credit card/cash at front desk for walk-in customers.
  • May be requested to assist with cash application of all checks received by 1) mail, 2) driver, 3) walk-ins, 4) credit card, 5) wire, and 6) not downloaded from lock box.
  • Sorting and mailing of customer invoices.
  • Entry of all non-CRS credit memos into FACTS (received from Mary Hill).
  • Clear paid checks in co. system for general bank account.
  • Sign for all deliveries made to facility and administer distribution.
  • Assist with:
    • Processing of scanned accounts payable invoices & proof of delivery receipts.
    • Alphabetize AP paid voucher package for filing.
  • Retrieves messages from voice mail and forwards to appropriate personnel.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Monitors visitor access.
  • Mail/track W-9 correspondence to new vendors
  • Receives, sorts, and routes incoming mail.
  • Performs other clerical and accounting duties as needed.

Competencies, Skills & Abilities

Minimum:

  • Microsoft Office suite including Excel, Outlook, & Word.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. 
  • Ability to write routine reports and correspondence. 
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Proficiency with verbal and numeric reasoning abilities is required.    

Preferred:

  • ERP system experience
  • Ability to speak effectively and respond to questions from customers, employees, and the general public.

This job has no supervisory responsibilities.

Education & Experience

Minimum:

  • High school graduate or GED equivalent; or three to six months related experience and/or training; or equivalent combination of education and experience.

Smith was established in San Diego in 1935 as a wholesale food service equipment and supply distributor serving San Diego County.  Currently, we have two distinct business lines including a  full-service turnkey supplier of food service supplies and equipment  and  custom design/fabrication of controlled environment rooms .
