Position: Payroll Specialist

Position Summary/Objective

Full accountability for processing bi-weekly multi-state payroll, weekly certified (union) payroll, and monthly commission payroll along with general accounting duties.

Essential Functions & Responsibilities

Union Payroll Duties

  • Processes weekly union and non-union, certified payroll
  • Prepares weekly manual certified payroll reports
  • Prepares monthly union contribution reports

General Payroll Duties

  • Processes bi-weekly payroll
  • Manages ADP (WorkForce Now – Version 18) – new hires, terminations, wage, deductions, etc.
  • Resolves payroll discrepancies by collecting and analyzing information.
  • Utilizes ADP Reporting for various ad-hoc and special request reports.
  • Processes Concur Solutions bonus/spiff site.
  • Processes Concur Solutions expense reimbursement site
  • Manages vacation/sick accruals
  • Processes wage withholding notifications
  • Prepares garnishment disbursements
  • Prepares and posts monthly payroll journal entries
  • Manages and maintains the Enterprise eTime timekeeping system
  • Reconciles key general ledger accounts monthly (i.e. spiffs payable, prepaid employee benefits, etc.)
  • Special projects and other duties as assigned.
  • Maintains employee confidentiality and protects payroll operations.

Competencies, Skills & Abilities


  • In depth, intermediate to expert working knowledge of ADP products; including WorkForce Now Version 18, Enterprise eTime, Concur Solutions, and ADP Reporting.  Knowledge of Essential Time would be helpful due to pending integration.   
  • Knowledge of multi-state wage and hour regulations affecting payroll practices.
  • Ability to effectively work and communicate with all levels of personnel, both independently and in group settings.
  • Effective organizational abilities and detail oriented required.
  • Ability to create, manipulate and analyze Excel reports.
  • Working knowledge of Microsoft Office Suite, including Word, Excel and Outlook    
  • ERP Accounting software
  • Internet search and applications


  • Ability to prepare written documents to conform to respective audience.

Education & Experience



  • 3-5 years of progressive Payroll/accounting experience.
  • Strong attention to detail is a must for this position.


  • Certified Payroll Professional (CPP) status through the American Payroll, desirable.
  • ERP system (Oracle/JD Edwards) experience is desirable.
