Position: Office Coordinator - Houston

The Office Coordinator is responsible for coordinating, overseeing, and performing a wide variety of administrative, secretarial, and program support activities.  

Essential Functions & Responsibilities  

  • Screen incoming sales calls and distribute as required 
  • Operating the corporate switchboard as relief throughout the day 
  • Sales order entry 
  • Invoicing 
  • Manage the online invoicing of select accounts 
  • Manage paperwork for monthly cooperative purchase reports 
  • Collect freight quotes, shipping costs, and tracking of shipments 
  • Prepare daily mail for pickup and distribute incoming mail, faxes, and packages 
  • Conduct data entry of serial numbers both internally and on state websites to help track equipment in the lease and service fleet 
  • Data entry to maintain congruency of lease data between software systems 
  • Support Project Coordinators with basic project follow up duties and end of job requirements 
  • Obtain acknowledgement of purchase orders with vendors 
  • Maintain sales tax files, monthly sales reports, and monthly duty calendar 
  • Responsible for various filing duties 
  • Assist Lease Administration Manager with paperwork and billing functions 
  • Perform other general office and clerical duties as required and assigned

Education & Experience  

  • High School diploma or equivalent  
  • Proficient in Microsoft Office (Word, Excel, Outlook) and be willing and able to learn new computer programs
