Position: Contract Administration Coordinator

Position Summary/Objective
The Contract Administration Coordinator I is responsible for assisting in the facilitation of the contract requirements to ensure that our subcontractor requirements are met within the stipulated contract guidelines.
 
Essential Functions & Responsibilities
  • Provides new AIA customer account information to the Credit Department
  • Keys AIA contract quotes into Navision, generates purchase orders, tracks order status
  • Creates Statement of Values based on the final contract quote
  • Enters new contract information in the Smartsheet Contract Tracking Report and requests updates from the project managers
  • Requests AIA Contract Vendor Lien Waivers
  • Works with the internal and external staff to provide up-to-date information on job progress
  • Works with billing department on pay application requests of each project for timely completion.
  • Follows up with contractor / customer with the status of pay applications
  • Works with A/P on vendor invoices
  • Compiles Operation & Maintenance Manuals
  • Adhering to Company policies, procedures and directives regarding standards of workplace behavior in completing job duties and assignments
  • Perform other related duties as required and assigned
